Mail Tax Documents to the IRS Without Making Costly Mistakes

How to Mail Tax Documents to the IRS Without Making Costly Mistakes - Solution 8020

Sometimes the IRS just does not give you the option to e-file. Maybe you are submitting an amended return. Maybe it is a specific form that is not supported online. Whatever the case, if you are mailing something to the IRS, doing it the right way matters. A lot.

Miss one small detail and you could be looking at delays, penalties, or both. Here is how to get it right the first time.

Certified or Registered Mail

This is the gold standard for sending tax documents through the U.S. Postal Service. Go to the post office, send your paperwork via certified or registered mail, and the date of the postmark becomes your official filing date.

  • It is reliable
  • It gives you tracking
  • It gives you peace of mind

The only real downside? You have to physically go to the post office. That might mean standing in line and losing some time from your day. But if you want a secure, trackable option, it’s worth it.

Private Delivery Services

Don’t want to deal with the post office? Good news. The IRS does accept certain private delivery services. But here is the catch. You must use one of the approved services listed below. If you use the wrong one, even from the same company, the IRS might treat your return as late.

Here is the list of IRS-approved delivery services

FedEx

  • First Overnight
  • Priority Overnight
  • Standard Overnight
  • 2 Day
  • International Next Flight Out
  • International Priority
  • International First
  • International Economy

UPS

  • Next Day Air Early A.M.
  • Next Day Air
  • Next Day Air Saver
  • 2nd Day Air
  • 2nd Day Air A.M.
  • Worldwide Express Plus
  • Worldwide Express

DHL

  • Express 9:00
  • Express 10:30
  • Express 12:00
  • Express Worldwide
  • Express Envelope
  • Import Express 10:30
  • Import Express 12:00
  • Import Express Worldwide

Again, choose only from this list. Using a different shipping option, even from FedEx, UPS, or DHL, can put your timely filing status at risk.

And do not forget, you also need to send your documents to the correct IRS street address. That varies depending on what you are filing and where you live. If you are unsure, we can help you find the right address.

When in Doubt, E-File

If you can e-file, do it. E-filing is fast, secure, and comes with an immediate confirmation. The date on the electronic postmark counts as your official filing date. There is no risk of lost mail or rejected delivery options.
